How to empty the private spam folder automatically

Exchange 2007/2010

Starting with Exchange 2007, Microsoft has introduced managed folders. Using custom managed folders, you can create folders with their own retention settings. Starting with version 2.3, CSE can be configured to use managed folders.

Exchange 2000/2003

Create a mailbox management recipient policy:

  1. Open the Microsoft Exchange System Manager.
  2. In the left pane, expand the Recipients object.
  3. Right-click Recipient Policies to open the pop-up menu.
  4. Select New > Recipient Policy.

    The New Policy dialog box appears.

  5. Select the Mailbox Manager Settings check box.
  6. Click OK.

    The Properties dialog box appears (showing the General tab).

    Note: If you do not see the option for Mailbox Manager Settings, reapply the Exchange service pack.

  7. In the Name box, enter a name for the recipient policy.
  8. Click Modify.

    The Find Exchange Recipients dialog box appears.

  9. Uncheck the following checkboxes:
    • Users with external e-mail addresses
    • Groups
    • Contacts
    • Public Folders

    These should be excluded from the recipient policy because the policy should apply only to accounts that have an Exchange mailbox.

  10. Click the Storage tab.
  11. Do one of the following:
    • Click Mailboxes on any server, then click OK.
    • Click Mailboxes on this server, then click Browse. The Select Exchange Server list box appears. Select the server that you want to use, then click OK.
    • Click Mailboxes in this mailbox store, click Browse, select a mail store, then click OK.
  12. Click the Advanced tab.

    Note: You will only use this tab if you do not wish to empty the Spam Folder for all mailboxes.

  13. Click Field.
  14. Select any of the following options:
    • User
    • Contact
    • Group
    • Public Folder
  15. Under Condition, select any of the following:
    • Starts with*
    • Ends with*
    • Is (exactly)*
    • Is not*
    • Present
    • Not present

    * If you select any of the conditions marked with an asterisk, enter a value in the Value field. For example, click Is (exactly), and then type Accounts to find all employees who work for the accounts department.

  16. Click Add to add the condition to the list.

    You can add additional conditions, but remember that all conditions must be true in order to display a match.

  17. Click Find Now.

    The Find Exchange Recipients dialog box appears. Any matches to the conditions are displayed here.

  18. If the list displays the correct users for this recipient policy, click OK. If not, revise the search conditions until your search displays the correct users for this recipient policy.

    Once you click OK. You will receive the following message:

    When a recipient policy filter changes it does not mean that proxy addresses for recipients who may no longer be under the control of the policy will be automatically re-evaluated. For these recipients to receive proxies from the new policies that they belong to, use 'Apply this policy now' on the policies that now affect these recipients.

    This message does not affect mailbox management recipient policies.

  19. Click OK.
  20. Click the Mailbox Manager Settings (Policy) tab.

    If the Mailbox Manager Settings (Policy) tab is not available after you apply Exchange 2000 Server SP1, right-click the recipient policy, click Change Property Pages, then click to select the Mailbox Manager Settings check box.

  21. Under When processing a mailbox, click Delete immediately.
  22. In the list of folders, uncheck the following folders to exclude them from the recipient policy:
    • Inbox
    • Sent Items
    • Tasks
    • Journal
    • Contacts
    • Notes
    • Deleted Items
    • System Cleanup
    • All Other Mail Folders
  23. Click Add.
  24. Enter the folder name, usually "Spam".
  25. In the Folder Retention Settings dialog box, enter the age limit when you want the selected processing action to occur.
  26. Uncheck the Message Size checkbox.
  27. Click OK.
  28. Optionally, select Send notification mail to users after processing if you want to send users an e-mail message notifying them when their mailboxes have been processed. Click Message to edit the notification message.
  29. Optionally, select Insert the number of messages processed check box if you want a summary of the number of oversize messages processed.
  30. Click OK to return to the Properties dialog box.
  31. Click OK to close the Properties dialog box

    The new mailbox management recipient policy is displayed in the right pane in Exchange System Manager.

Configure mailbox management:

  1. In the left pane of the Exchange System Manager, expand the Servers object.
  2. Right-click the computer that you want to configure, and then click Properties.

    The Servername Properties dialog box appears.

  3. Click the Mailbox Management tab.
  4. Under Start mailbox management process, do one of the following:
    • Open the drop-down list and select a time for the mailbox management to run.
    • Click Customize, select a day in the left column, then click a time on the top row. Click OK.
  5. Click Reporting.
  6. Select the type of report, either a detailed report or a summary, to create when mailboxes are processed.
  7. Click Browse, select a recipient for the reports.
  8. Click OK.

    Note: You cannot send reports to distribution lists.

  9. Click OK to accept the mailbox management settings.

Confirm that your new mailbox management policy works correctly:

  1. In the left pane of the Exchange System Manager, expand the Servers object.
  2. Right-click the computer that you want to process.
  3. Click Start Mailbox Management Process.

    Mailbox management starts after a short delay, depending on the current resource utilization on that computer.
